Meetings & Events at Lokaal

As one of the perks of being a member at Lokaal and our great community of creative entrepreneurs, you can book the meeting room, main open workspace, the kitchen space (or a combination of the above). The meeting room can be booked for any time 24/7, while the kitchen and main space may only be booked after hours (ie) your event can be held during weekday evenings after 6:30pm or on weekends. All events held in Lokaal must be booked in advance and be approved by Kevin McIntosh. If you pay your monthly fees by credit card, charges for your event booking will be billed to your card on file at the time of booking. If you make payments by cheque, your booking is only confirmed with advance payment.

Our rates are as follows for all bookings and have a 1 hour minimum booking with additional time in 30 minute increments:

Meeting Room:

  • $25.00 per hour; max 5 people including host. 55” monitor with HDMI or Chromecast connection

Kitchen Space:

  • $65.00 for 1st hour + $25 for each additional 30 minutes or part thereof; LCD projector (VGA connection only) available for $20 flat rate rental

  • Max. 10 people including host(s)

Lokaal as Event Space:

  • $110 for first two hours (min charge) + $45 for each additional 30 minutes or part thereof (includes main workspace, lounge and kitchen but not the private meeting room as this is reserved during events for members who may need to come in to work); 60” monitor with HDMI or Chromecast connection

  • Max. 20 people including host(s)

Terms & Conditions:

Set Up: Access for event setup may not begin before 6:15pm to ensure we are not disturbing working Lokaal members (unless all members have already left the space). Please ensure your reservation includes set up / tear down time in your booking duration. The building doors will be locked until the time you have booked begins and will auto-lock again at the conclusion of your event time booked. If you need to move the workstation tables please let us know in advance / at the time of booking. We will look after moving tables and can also pin-up the light fixtures for better headroom. This also helps reduce your liability for damages to furniture & fixtures.

No outside chairs or furniture are permitted. Dedicated Desk rolling task chairs may not be used by guests or for events. Only the plastic molded chairs may be used. There are 20 plastic molded chairs in Lokaal (main space, kitchen and meeting room). If additional chairs are needed, Lokaal will provide them up to the maximum occupancy permitted (25).

No alcohol may be served at member hosted events without advance approval from Lokaal (Kevin McIntosh) and the appropriate SOP. A liability waiver must be signed by the member hosting any event where alcohol will be served and the member must carry their own business liability insurance.

No Outside Coffee: Lokaal includes make-your-own coffee using the in-house 8 cup coffee maker with thermal carafe at no extra charge. For larger events with more people, Lokaal will arrange a coffee “cambro” with our partner Wallace Espresso downstairs on your behalf. A full “cambro” is about 45 cups for $50 or a half cambro for $25. We don’t mark this up, we just feel strongly about supporting our local business. Please let us know in advance (at the time of booking ideally or at least by noon on the day of your event) so that we can arrange this on your behalf and include it in your charges. We’ll also ensure adequate cream/sugar is available. Please use the Lokaal mugs first before using any paper cups to keep your environmental footprint lighter. Lokaal will look after returning the cambro the next morning after your event.

A/V: Please feel free to make use of the smart TV’s as desired. You may connect to the TV’s using either Google Chromecast (Google Home) or the supplied standard HDMI cable. Please check that you can connect and have the right adapters in advance of your event if your laptop does not have a standard HDMI port as Lokaal may be unable to supply special adapters. Although we will do our best to assist in resolving any technical problems you may experience, Lokaal cannot be held responsible for any failure of internet access, A/V or network equipment during your event.

Post event, please leave the space tidy and ensure all garbage, recycling or food waste is placed in the appropriate bins and dishes loaded into dishwasher. Spaces left in a mess may result in cleaning charges which will be deducted from the deposit as appropriate.

Liability & Damages: Members hosting an event are responsible any damages caused (including by their guests) to the building, Lokaal property or the property of other Lokaal members. The hosting member will be responsible for all costs related to repair of any damages including those that exceed the deposit noted below under “Payment Terms”. The hosting member(s) shall also be responsible for the conduct of their guests while visiting Lokaal.

Non-Exclusive Use: The host member understands that they will have non-exclusive use of the booked space. While Lokaal ensures all members are advised in advance of any events in the space, Lokaal’s Dedicated Desk and Private Office members have access to use their dedicated space and common areas at any time 24/7, including during events. That said, all our members are cool and considerate people who respect others in our shared space. If you require full privacy and confidentiality for your event, Lokaal cannot guarantee this.

COVID19: What fun would it be if we did not have to navigate around the latest iteration of COVID19 restrictions? Like any other business, Lokaal must adhere to the Provincial Health and Department of Health guidelines. If permitted capacity limits change that negatively impact our ability to host your event(s), you will NOT be charged for any bookings that cannot be hosted due to these changes. If you have prepaid for these events, they will be refunded or credited as appropriate.

Payment Terms: Full payment for your booking will be charged to your credit card on file at the time of booking confirmation. Your event booking is not confirmed until payment has been successfully made. Additional time over the booked time will be billed to you post-event with the same payment method as the original booking. A deposit of $400.00 is charged to your credit card the day of your event and returned after inspection following your event if no damages are incurred, less any overage time. Lokaal will conduct a pre-event inspection.

Cancellation: Members may cancel a booking up to 48 hours prior to the event booking time for a full refund. Cancellations within the 48 hours prior to the event will be permitted at the sole discretion of Lokaal management. Any refunds issued for cancellations within the 48 hours period may be subject to administration charges.
